Require a background clearance before volunteers sign up

A screen recording of Pearspark doing exactly this in a sample school, and the same 7 steps written out below in the labels you'll see on screen.

How to require a background clearance before volunteers sign up

  1. 1Click Settings under Administration in the sidebar, then the Volunteers tab
  2. 2Under "Clearance before signing up", choose Not required (only warns you), For some positions (only positions you mark), or For every position (nobody signs up until a current clearance is on file), and click Save
  3. 3For some positions, click Volunteers under People and open the Teams & positions tab
  4. 4Click the shield beside a position, for example Chaperone, to make it require clearance; a filled shield means required, and clicking it again stops requiring it
  5. 5In the family portal, a gated spot tells the parent to bring their card to the school office in place of a Sign up button; ungated spots keep their Sign up button
  6. 6On an event, Ask skips anyone without a current clearance and names them, and the emailed Accept link holds the same rule
  7. 7Click Volunteers, open the All volunteers tab, open the menu on the volunteer's row and click Edit; set Clearance status to Cleared and Expires to a date that has not passed, then click Save; they can now sign up

Part of Volunteers & service hours

Post the jobs a term actually needs, let families claim a spot or answer a direct request, keep fingerprint clearances current, and hand the board an hours report at year end.
