Set up a late fee, and waive one for a family
A screen recording of Pearspark doing exactly this in a sample school, and the same 11 steps written out below in the labels you'll see on screen.
How to set up a late fee, and waive one for a family
- 1Click Billing under Administration in the sidebar.
- 2Click the Enrollment tab.
- 3Scroll to Late fee and click Set it up.
- 4Tick "Charge a late fee on overdue invoices" — the rest of the form appears.
- 5Type What families see — the line that prints on the invoice.
- 6Under Charged as, pick A flat amount (type it in Amount ($); it is charged once per invoice) or A percent of the unpaid balance (type it in Percent (%); it is taken from what is still unpaid the night the fee lands).
- 7Set Days of grace — how many days past the due date before the fee lands; 0 is the first night an invoice is overdue.
- 8Click Save. The Late fee card shows your rule. The nightly billing run adds the fee once, only to invoices that fall overdue from now on, and never to an invoice a scholarship program is paying.
- 9To waive one: click the Invoices tab and open the invoice.
- 10Click Waive beside the late-fee line — the "Waive the late fee" dialog opens.
- 11Type a Reason (it goes in the activity log, not on the invoice) and click Waive fee. The balance comes down by the fee and the line shows Waived.
