Charge a fee automatically at enrollment

A screen recording of Pearspark doing exactly this in a sample school, and the same 7 steps written out below in the labels you'll see on screen.

How to charge a fee automatically at enrollment

  1. 1Prerequisite: create the fee type first under Billing → Fees (a registration fee, a materials fee)
  2. 2In the sidebar under Administration, click Billing, then the "Enrollment" tab
  3. 3Next to "Enrollment and re-enrollment fees", click "Add a fee" — the dialog is titled "Charge a fee on enrollment"
  4. 4Pick the Fee from your fee types; leave Amount ($, optional) blank to charge the catalog amount, and choose "Due in" (Immediately to 60 days)
  5. 5Set "Charge it when": "A student enrolls for the first time", "A family comes back for another year", or "Both — joining and coming back"
  6. 6Set "What the money is": "A fee the school keeps" or "Credited toward their tuition"
  7. 7Click Save — the fee bills itself once per the rule; enrolling the same child twice never bills the family again

Part of Tuition & billing

Put each family on a plan, run billing once a month, and let Stripe and automatic reminders do the collecting — families pay right in the portal.
