All-in-one microschool software: what the phrase has to include, and what every vendor still sends you elsewhere for
You want one login, one bill, and one place the child's record lives. Almost every vendor says that is what they sell. Here is how to check the claim, and where the honest answer is still two systems.

In short
All-in-one microschool software means one login, one student record, and one price covering admissions, attendance, gradebook, report cards, transcripts, tuition billing and a parent portal. Test any vendor by asking which of those sit behind a higher tier, a one-time setup fee, or a separate product. No platform includes curriculum, payroll, accounting or your website, so every school runs at least two systems.
“All-in-one” is a claim, not a category
Nearly every system in the table below calls itself all-in-one, complete, or everything your school needs. The phrase costs nothing to print, no one audits it, and it appears on products that are one database and on products that are four purchases wearing one logo. You cannot verify it by reading it.
What it should mean is narrow. One login for staff. One record per child that attendance, grades, billing and messages all read from, so a new student, a withdrawal or a name change is typed once. And one price that does not change when you start using another part of it.
A product fails that test in three ordinary ways. None of them are concealed — every one is published somewhere — but none of them are in the number you remember from the homepage.
The nine jobs, and what “inside one system” has to mean
Work down this list with any vendor. The wording matters: not “do you have admissions” but “does an accepted applicant become a student without anyone retyping the family.”
- Admissions and enrollment. Inquiry, application, interview, decision, signed agreement, deposit — and then the applicant becomes a student on its own. Where enrollment forms are a separate product, the roster gets typed twice every August, which is the single most common place a small school's data starts to drift.
- Student and family records. One record per child carrying guardians, emergency contacts, pickup authorizations, health and immunizations, and documents. Two households belongs here too: plenty of systems still assume one address and one bill per child.
- Attendance. Daily, in under a minute, on a phone, with late and excused as well as absent, a note, and the ability to correct a past day. If attendance is slow, teachers stop doing it every day and the register becomes fiction — which is the record a scholarship program or a state review asks for first.
- Gradebook and report cards. Grades entered once become the report card, with no export step in the middle. A gradebook that hands you a spreadsheet to build the report card from is doing half the job.
- Transcripts and permanent records. The cumulative multi-year record, not this term's grades. This is the job cheap tiers drop most often, and the one a family needs years after they leave.
- Tuition billing and payments. Recurring plans per family rather than per invoice, sibling discounts and aid that apply on their own, split households, overdue reminders without you — and the money landing in the school's own payment account rather than the vendor's.
- Family communication. Audiences built from the roster, so the class list is never stale, and replies that come back into the school's record instead of one teacher's phone.
- One parent login. All of a family's children, with attendance, invoices, messages and documents under it. Families notice this more than any other item here, and it is the one no stack of separate tools can produce.
- The record after the school. What becomes of transcripts and permanent records if the school closes. It is the only item on this list nobody asks about before buying, and the only one that cannot be fixed later.
What the systems small schools shortlist actually publish
List pricing at three sizes, with every figure linked to the vendor's own page. Four of these do not publish pricing at all and quote per school; that is shown rather than guessed.

How Pearspark answers the checklist
One plan. $50 a month covers the first 20 students, then $2.50 a student a month, stepping down at volume; a school of 25 pays $62.50. No setup fee, no contract, no minimum term, and parent and student accounts are free and unlimited.
All nine jobs are in that price. So are eighteen modules — admissions, billing, lesson planner, observations, rubrics, schedule, clubs and electives, library, shared resources, health, behavior, volunteers, time clock, messages, text alerts, community, calendar and forms. They are switches in settings, not products with their own price: five of them ship off until you ask for them, and turning one on costs nothing.
Two things cost money by use rather than by plan, and we would rather name them here than have you find them at checkout. Text messages are prepaid credits from 2.7¢ a text. Online payments cost Stripe's standard rate plus 0.5% to Pearspark, and the money goes to the school's own Stripe account — cash and checks cost nothing.
Time, since it is the other price. Signing up takes about three minutes. Getting to a school that can take attendance takes about twenty minutes. Moving in from another system, records and gradebooks and all, takes a weekend, because the long pole is your old system's export and your reading of it.

What is all-in-one microschool software?
One system, under one login and one price, that covers admissions and enrollment, student and family records, attendance, the gradebook, report cards, transcripts, tuition billing and payments, family communication, and a parent login — all reading from the same record for each child. The test is not the phrase on the homepage but whether adding a student, withdrawing one, or changing a family's details is typed once or several times.
Is there really one software that does everything a microschool needs?
No, and any vendor saying so is counting on you not asking. No school platform includes curriculum, payroll, accounting, or your website. Realistically a school runs one school system, a curriculum source, and a bookkeeper. What a good system should remove is the second and third copy of your roster, not the accountant.
How do I tell whether a vendor's all-in-one claim is real?
Three questions. Which plan carries report cards, transcripts and the parent portal, and what does that plan cost at my size? Is there a one-time setup fee, and is it charged per module? And is billing, texting or the parent app your own product or a third party's resold under your name? A yes to the third means a second login and a second bill.
Do I end up paying for features my school will never use?
In Pearspark the modules are switches rather than separate purchases — eighteen of them, five off until you ask, and turning one on costs nothing. But the price is the same whether your school uses all eighteen or six, so a school that only needs records, attendance, a gradebook, transcripts, billing and a parent portal is paying us for scope it does not need. That is a real argument for a cheaper system, and the vendor notes on this page say which ones.
What is the difference between all-in-one school software and an SIS?
An SIS — a student information system — is the records half: enrollment, demographics, attendance, grades, transcripts. All-in-one usually means an SIS plus the parts a school otherwise buys separately: tuition billing and payments, family communication, a parent portal, and admissions. The word covers a wide range, which is why the nine-job checklist on this page is more useful than the label.
What does Pearspark not include?
Curriculum, payroll, accounting and your website, like every other school platform. Specific to us: no student work submissions or online testing, no public API, no calendar feed to subscribe to, no attendance by period, and no live sync to an accounting package — the coded double-entry journal exports as CSV instead. Text messages go one way and take no replies, and they are prepaid credits from 2.7¢ a text rather than part of the plan.
